Description:

As the office manager, you will assist the CERTIFIED FINANCIAL PLANNER™. Experience in marketing, sales, managing, organizing events, managing a book of business, insurance, or financial services will be beneficial. It is required that you easily adapt, have listening skills, exhibit customer service skills, maintain professionalism (even on social media), and are proficient with a computer. As the office manager your duties include but are not limited to answering phones, emails, maintaining CRM, managing the office calendar, prepping paperwork, liaising, and supporting customers on all levels, and working collaboratively with internal technical and project teams. This role requires use of Microsoft Word, Office, Excel, Calendly, Outlook, and other financial technology sites. The office manager will eventually have a basic understanding of financial & retirement planning, life insurance, annuities, and investments.

• Answer phone calls, listen to voicemails, and call clients with appointment reminders • Communication between financial institutions • Ease people when they arrive stressed • Effectively communicate • Efficiently manage Stephen’s calendar • Handle client’s delicate information with integrity at all time • Maintain a polite, professional, and helpful attitude • Multi-task • Organize files • Plan for the day as well as the year • Prepare office and paperwork for appointments • Proactively plan and follow-up • Process mail • Quickly respond to emails • Scan, copy, and print documents • See details without losing sight of the big picture
