Job Summary This position responsibility will be performed under the supervision of a Program Director, Department Administrator, Administrative Services Director or Office Manager. This position manages and oversees the administrative support functions for a civilian emergency medicine residency and a military emergency medicine residency program. Performs a variety of administrative duties, including planning, budgeting, providing oversight to selection of program participants, and monitoring of participant progress. Responsible for the administrative oversight of educational programs to include 5 fellowships, PA residency, and Clerkship. Manages academic staff (3 FTE) positions. Knowledge, Skills, & Abilities Able to Supervise other employees Detail-oriented with strong organizational skills Ability to maintain confidentiality and multi-task Ability to prioritize and manage conflicting deadlines Excellent interpersonal, written and verbal communication skills Proficient in Microsoft Office and other computer software/databases Ability to interpret and apply MCG/AU/AUMC/PPG policies and procedures Ability to work independently, perform well under pressure, meet deadlines and exercise good judgment Responsibilities The responsibilities include, but are not limited to: Manage the daily business operations, development, planning: Manage the daily business operations, development, planning and coordination of an educational section within the Department of Emergency Medicine civilian and military residency, as directed by the Vice Chairman of Academic Programs and the Residency Director. Provides supervision of the Residency Coordinator 1, Clerkship Coordinator 1, and Office Associate. Has the authority to make a variety of personnel decisions, such as recruitment and selection of staff, evaluating performance, mediate issues, and counsel employees to resolve problems. Serve as a reference to staff to ensure administrative policies and procedures, programs, etc. are communicated and monitored for compliance. Provides collaborative supervision with the Residency Director for the supervision of 21 civilian residents and 18 military residents related to timely completion of paperwork and guidance/counseling related to administrative duties. Counsels residents on financial aid/loan deferral opportunities, as well as manage clinical and academic remediation for residents. Residency Review Committee (RRC) has approved for 42 residents and this number will increase over next year). Travel annually to a conference related to ACGME: Travel annually to conference related to ACGME accreditation or EM Specialty residencies to stay up to date on rules, regulations, etc. Serve as a member of Graduate Medical Education Committee (GMEC), attend quarterly meetings to stay up to date with AU campus Graduate Medical Education (GME). Ensures program accreditation with regard to compliance: Ensures program accreditation with regard to compliance of potential participants with the criteria of corresponding organizations such as American College of Graduated Medical Education (ACGME), Residency Review Committee (RRC), Graduate Medical Education (GME), and HIPPA. Act as liaison for all activities both on and off campus for the Academic Programs in the Department of Emergency Medicine. Assist in the residency state, national, and international roles. Independently collect and compile resident data, to include clinical evaluations, patients per hour, research status, peer, nursing and patient evaluations to be reviewed biannually by the Clinical Competency Committee (CCC). Participation in the CCC provides coordinator with details that are used to populate each milestone category for all residents via the Accreditation Council for Graduate Medical Education (ACGME). Organize data for all academic programs, including faculty/resident scholarly activity, to input in the Annual Program Update as required by the ACGME annually. Independently collect and compile data based on faculty and resident evaluations of the program to provide data for the annual Program Evaluation Committee (PEC). Participate on PEC and utilize minutes taken as recommendations to populate the (APE) Annual Program Evaluation form that is submitted to the AU Institutional Graduate Medical Education (GME) Office. Maintain and update FREIDA (Fellowship and Residency Electronic Interactive Database Access) on an annual basis to ensure that correct information is displayed for all candidates. Serve as a liaison for ABEM (American Board of Emergency Medicine) to include maintaining resident training year, completion of training and organizing In-Training Exam. Independently draft and edit all Program Letters of Agreement (PLA) and maintain current PLA with all training rotations. Independently draft, review and edit letters required by the residency, including moonlighting approval, standard verification of residency, letters of good standing, etc. Administer and Manage Policy Implementation : Administer and manage the policy implementation of all rules, regulations and prescripts regulating to educational programs; reviews participants requirements such as, licenser, FMG, and visas. Develop, Coordinate and Plan Annual Educational Programs: Develop, coordinate and plan annual educational programs for two distinct residency programs (Civilian and Military). This includes orientation, oral boards, in-service exam, didactic month, graduation, military pinning and plaque ceremony, and extracurricular activities. Develops program management systems to include curriculum and lecture scheduling. Manage, coordination and authorization of educational program budgets and expenditures to include recruitment, travel, in coordination with the Graduate Medical Education (GME) and Augusta University. If a military resident, travel paperwork must be approved through military channels as well. Independently manage all aspects of the recruitment process for Civilian Candidates and the Military Residency Candidates. Develops, organizes and directs recruitment activities; identifies eligible participants, schedules interviews, send out travel/location information, prepare interview schedules, schedule pre-interview dinner, etc. Civilian Candidates (September to January): Interviews held weekly, approximately 120 candidates interviewed. Rank order list managed and submitted through National Residency Matching Program (NRMP). Military Residency Candidates (July to October): Interviews held weekly, approximately 50 candidates interviewed. Rank order list managed and submitted through the Medical Operational Data System (MODS). Work along side the multiple credential offices for Civilian and Military Emergency Medicine residents and off campus rotating residents, including transitional year students from Fort Gordon. Serve as a liaison for the GME office located on Fort Gordon and the Education office of the VA to assist in credentialing all residents. Augusta University: Collect all pertinent information (GA temporary training permit application, medical school diploma, transcripts, letters of recommendation, ERAS Application-civilian, Graduate Medical Education Application-military) and forward to AU GME Office for credentialing. DDEAMC: Complete application and upload via a secure site all necessary paperwork and background check documentation. Ensure that resident completes online requirements in a timely manner. Serve as point of contact for GME office at DDEAMC. Ensure PPD and HIPPA requirements are completed, and report to GME office for in-processing and obtain gate access. VA: Complete all necessary application information, Federal Declaration for Employment, PIV card application, background check information and submission. Schedule in-processing, badging, fingerprinting, and computer training courses. Work with and serve as point of contact for primary care service line and human resources. Qualifications:

Required Qualifications Bachelor's degree from an accredited college or university and a minimum of four years professional or administrative experience to include two years of educational program experience or similar experience OR Associate's degree from an accredited college or university and a minimum of seven years professional or administrative experience to include four years educational program experience or similar experience OR High School Diploma, GED, or equivalent from a State or Federal accrediting organization and ten years professional or administrative experience to include six years educational program experience or similar experience
